Cancellations, expiry and lapse
Nothing cancels a booking on its own. Requests and quotes do end by themselves when nobody acts in time, and Airship tells both sides when they do. A daily check runs once each UK day, shortly after midnight London time.

Withdrawing a request
Withdraw… on a request takes back its open pitches, with a reason if you give one. The vendor is told by email. If some pitches are already booked, only the open ones are withdrawn; the booked ones stay booked until someone cancels them.
When a vendor declines or withdraws
- A vendor can decline the whole request while nothing in it is booked, or say they are not quoting for some pitches. You are told, with their reason if they gave one.
- A vendor can withdraw their quote. You can no longer accept it; pitches already booked from it stay booked.
A vendor can always withdraw or decline, even when Airship's vendor terms have changed and they have not yet accepted the new version.
Cancelling a booked pitch
Either side can cancel a booked pitch, and must give a reason, which the other side sees. On your side, owners and editors can cancel. On the vendor's side, only an owner of the business can; their staff cannot. The other side is told by email and by a notice. Cancelling one pitch leaves the others in the booking as they are. The pitch goes back to its indicative figure in your budget.
Reminders
- The vendor is reminded 2 days before the respond-by date and on the day, while a pitch is still unanswered. Each vendor can switch these reminders off on their account page.
- You are reminded 3 days before a quote's open-until date, while it still prices open pitches. The email goes to whoever sent the request (to the workspace's owners if that person has left); the other owners and editors get a notice on the dashboard.
Quotes lapse
A quote lapses when its open-until date has passed: from midnight, UK time, it can no longer be accepted, even before the daily check marks it. The vendor can send a new version while the request is open.
Requests expire
A pitch that no open quote prices expires 14 days after the request's respond-by date. A request with nothing left open ends: as expired if nothing in it was ever booked, otherwise as closed.
Bookings complete after the event
The day after the event's last day has ended, the booking completes. The pitch reads Booked (event ended): its accepted prices stay as a record, it can no longer be cancelled, and the pitch is free to book again for your next event.
Changing the design
- Deleting a pitch with a booked line is refused: cancel the booking first. Deleting a pitch with open requests withdraws them, and the vendors are told.
- Re-picking a pitch's object, or removing a vendor from a pitch, is refused while that pitch (or that vendor on it) has an open request or a booking. Withdraw or cancel first.
- Deleting the design or the workspace ends its open requests. The vendor reads The organiser removed this event plan. and gets no more reminders. Bookings are kept as records.
When a vendor's business changes
- A business cannot close while it has a booking whose event has not ended. Otherwise closing it ends its open requests and you are told; a booked line reads Closed business: your booking record stays.
- A business Airship has suspended reads Unavailable: you cannot send it a request or accept its quote, and it gets no reminders. Its bookings stay.
